Versatile marquee hire for a trio of charity events at Hartley Wintney Festival
The event
Hartley Wintney Cricket Club (HWCC) is a central part of a thriving village community, based near Hook in Hampshire.
Time Marquees has been supplying marquees for their sporting and social events for 15 years, during which time we’ve seen the organisers focus increasingly on supporting local charitable causes.
In 2023, they approach us again to ask for our marquee hire expertise in connection with an important charity fundraising event, The Hartley Wintney Festival.
The brief
The Hartley Wintney Festival would require marquee hire for three events over the course of one weekend, in aid of Samantha Dickson Fund and Iggy’s Fund, two brain tumour charities:
- Charity cricket match – IGGY Kent XI vs. HWCC – also including a buffet lunch, live auction and raffle
- HWCC vs. Hampshire Cricket Club – a T20 match with a sit-down meal for spectators
- Casino Royale Ball – a black tie ball for club members and village residents
Marquee hire for The Hartley Wintney Festival would need to be adaptable, with a design flexible enough to suit to the varying sizes and styles of the three different events. The structure and layout of the marquee had to encompass space for 320 guests to mingle, drink, dine and dance, as well as accommodating catering and storage.
Electricity would need to be safely connected from the club house, fifty metres away, and had to be adequate for catering demands and entertainment.
Due to the Marquee being situated on a busy cricket green, the team would have to get the marquee removed promptly after the Saturday night ball, prior to the Sunday afternoon cricket match.
The solution
Using our extensive knowledge of the grounds and ample event experience for Hartley Wintney Cricket Club, we designed a multipurpose marquee layout for The Hartley Wintney Festival, including:
- An open-sided main marquee for 320 guests, seated and standing
- Sectioning within the main marquee, for the smaller events e.g. a ‘wall’ lining to create a more intimate space for the lunch
- Additional linings and décor for the Casino Royale theme of the charity ball
- Disco lights and a dance floor
- Furniture suitable for the various aspects of the festival
- Secondary catering and storage marquees, linked to the primary structure
- Food and drink fridges from Simply Chillers
- Toilets from Deluxe Loos, our sister company
Our dedicated team visited the site on each day to check everything was going to plan and modify the space as required. After the ball, we set our alarms early to ensure what had been Casino Royale was transformed back into a popular village cricket club green by Sunday afternoon – as if by magic!
The most magical part? The Hartley Wintney Festival raised £6000 for the Samantha Dickson Fund and £2860 for Iggy’s Fund. We were so proud to make yet another Hartley Wintney Cricket Club fundraiser such a success.
